Example: Email replies
Replies to the same questions, drafted before you open your inbox.
Order updates, returns, hours and changes get a draft reply in your own words, filled with the right order details. You read it, fix it if needed, and send it yourself.
Answering the same emails. About 4 minutes each time, every time it comes up.
Handled for you, and nothing reaches a customer in words you have not approved.
What a diagnostic would check first
The diagnostic decides what gets built, or whether anything should. What follows is one way it could look.
- Which questions repeat
- Which ones need a person
- How long customers wait today
One way it could look
Open the working exampleQuick look. The full example has every screen. Made-up shop, customers and orders. Nothing is sent from this page.
How it would work
- Step 1
It reads new email
Every 15 minutes it looks at unread customer email in your Gmail inbox.
- Step 2
It sorts each one
Where is my order, return or refund, hours or location, change an order, complaint, or anything else.
- Step 3
It looks up the order
It finds the order number in your Orders sheet and checks that it belongs to the person asking.
- Step 4
It leaves a draft
Your approved reply, filled with the order facts, waits in the Gmail thread. You send it. Anything it cannot answer gets a "needs a person" label instead.
Waits for your OK
- Every reply. It writes drafts only. A person reads each one and presses send in Gmail.
- The reply templates. Each kind of question drafts only after you mark its template approved.
- Complaints, unclear emails, and orders it cannot match to the sender. These get the "needs a person" label and no draft.
- AI rewording. It stays off until you switch it on, and a draft where the AI added a number that is not in the order facts goes to a person instead.
Konsul builds it. Kustos keeps it running and right.
Once it is live, Kustos checks it on a schedule and drafts a fix when something breaks. A person approves every change.
What could go wrong
A draft quotes the wrong order.
It drafts only when the order number is in your Orders sheet and the email on the order matches the sender. Otherwise it flags the email for a person.
A reply goes out that nobody read.
It cannot send. The build creates drafts and labels, and a person sends every reply from Gmail.
AI wording makes up a date, price or tracking number.
AI is off by default. When on, it gets only the facts for that email, and any number in its text that is not in those facts sends the email to a person.
Google asks for a review of the Gmail permission.
Reading and labeling Gmail uses a restricted Google scope. The build runs only inside your own account. We check whether Google needs to review it before it goes live.

Start with the process that costs you the most.
Rough numbers are fine. Describing it takes about three minutes.
