Example: Follow-up list

Know who to call today and what your pipeline is worth.

Your customers, deals and follow-ups in one Google Sheet you own. Each morning you get a short email with what is overdue and which deals have gone quiet. It never writes to a customer for you.

By hand

Forgetting to follow up. About 5 minutes each time, every time it comes up.

With a build

Handled for you, and nothing reaches a customer in words you have not approved.

What a diagnostic would check first

The diagnostic decides what gets built, or whether anything should. What follows is one way it could look.

  1. Where follow-ups live today and who owns them
  2. How many deals go quiet before anyone notices

How it would work

  1. Step 1

    Everyone in one place

Contacts, deals and follow-ups live in one sheet instead of a spreadsheet, an inbox and your memory.

  2. Step 2

    Deals move through stages

New, Contacted, Proposal, Won or Lost. Every move is stamped with the date, so you can see how long things take.

  3. Step 3

    Follow-ups have dates

Each one is overdue, due today or coming up. A deal with no activity in 14 days shows up as gone quiet.

  4. Step 4

    One email a morning

At 7am you get what is overdue, what is due today and which deals need a nudge. It comes to you only.

Waits for your OK

  • Nothing goes to a customer. "Draft a follow-up" gives you text to copy into your own email, and you decide whether to send it.
  • Stage changes and follow-ups are yours. The build stamps the date when you move a deal. It never moves one for you.
Watched by Kustos

Konsul builds it. Kustos keeps it running and right.

Once it is live, Kustos checks it on a schedule and drafts a fix when something breaks. A person approves every change.

What could go wrong

Several people edit the same sheet and a stage date gets overwritten.

The date columns are protected so only the owner can change them, and the on-edit stamp writes the date for whoever moves the deal.

The same customer gets added twice under two spellings.

Adding a contact checks the email first, in any case, then the name, and offers to open the one already there.

The morning email lands in spam.

It goes to the owner only, from their own Google account, so it comes from an address their inbox already trusts.

A typo in the stage column, such as "Wonn".

Only the five stages count. Anything else is noted on the Activity tab and left for you to fix.

Next step

Start with the process that costs you the most.

Rough numbers are fine. Describing it takes about three minutes.
